Location: Headquartered in Downtown Seattle
Work Schedule: Our typical business hours are 8:30-5:00 Monday-Friday.
Travel Requirements: Up to 10%

About the Position:
This position reports to the Manager of Facilities and Administration and supports the Chief Operating Officer and Chief Legal Officer for the SEIU 775 Benefits Group. This position provides support to the Operation and Legal Departments. Duties include a wide variety of confidential responsibilities including litigation support, heavy calendaring, coordinating travel arrangements, typing various documents (including Board Minutes and memos, etc.), may be responsible for projects. The qualified candidate must be detail-oriented, able to use independent judgement and juggle diverse responsibilities with shifting priorities, flexible enough to enjoy the unpredictable nature of working in a startup environment yet have the ability to demonstrate both proactive thinking and taking initiative in this fast paced environment. The candidate must be a team player and be willing to pitch in where and when it is needed while dealing with ambiguity.
You Will:


  • Provides administrative, project, and office technology support to legal counsel while Coordinating and supporting the Operations team;
  • Manages calendaring functions Project Management Office;
  • Interact with and provide board support including at Board of Trustee Meetings;
  • Monitor department finance, budget and expense reimbursements while tracking reconciles, financial reports and spending;
  • Organize and provide logistical support for meetings, conference calls and special events including but not limited to catering, scheduling and the development of supporting materials;
  • Prepares presentations and assists in building agendas and meeting materials;
  • Plans and executes team travel, team events and meetings for sub-departments;
  • Follow-up and track outstanding correspondence;
  • Develop and maintain online and hard copy file structure and organization of files; including data entry, filing, and maintenance of organizational policies and procedures;
  • Perform general administrative duties to include, but not limited to copying, emailing, scanning, faxing, mailing, filing, agendas and board minutes;
  • Be responsible for administrative special projects as needed to support the Operations and Legal Departments;
  • Pursues process improvements to reduce resource time;
  • Provide overflow and backup support to other Administrative team members;
  • Executes special projects as assigned by management.

    You Will Need to Have:

    • 2+ years' experience working as a legal or administrative assistant in a fast paced environment with rapidly changing priorities;
    • Expert level experience using workplace productivity tools focusing on Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), typing 50 wpm. SharePoint and Visio experience preferred;
    • Ability to keep information strictly confidential;
    • Highly organized and detail oriented with the ability to prioritize workload and be resourcefull;
    • Exceptional customer service skills;
    • Strong verbal and written communication skills;
    • Calm demeanor with good sense of humor are essential during challenging situations;
    • Must work well as a part of a team;
    • Ability to meet deadlines and requires minimal supervision;
    • Adept at learning new systems and software;
    • Ability to work independently and have strong team building, collaboration, and interpersonal skills;

      It Will Be Great if You Have:

      • Bachelor's degree in applicable subject area;
      • Experience with a mission driven organization;
      • Experience working in a legal or healthcare environment preferred.
