This position reports to the Director of Finance. Essential Functions Accounts PayableProcess approved vendor payments in a timely mannerPrepares and submits State and City excise tax returns according to the required schedulePrepares payroll according to current policy and procedureMaintains payroll spreadsheets including salary, benefits, PTO, and payroll computations GeneralAt direction of the Director of Finance, make regular month-end, and year-end journal entriesWorks closely with the Director of Finance to prepare for annual auditsPeriodically takes an analytical approach to reviewing the books for anomalies and inconsistenciesMaintains neat and orderly financial records, both electronic and paperEnsure all financial transactions are captured and coded accurately on a monthly basisAnalyzes financial data on a regular basis for reasonableness and accuracy OtherPrepare and record deposits according to current policy and procedureEnsure all financial transactions are captured and coded accurately on a monthly basisPrepares invoicing no less than monthly according to current policy and procedureAnalyzes financial data on a regular basis for reasonableness and accuracyPrepares and distributes to managers, monthly reports in formats best suited to his/her needsPrepares monthly grant/contract reporting and reconciliation according to current policy and procedureWorks closely with Executive Director and Director of Finance to maintain accuracy of grant/contract informationPeriodically takes an analytical approach to reviewing the books for anomalies and inconsistenciesPrepares and submits State and City excise tax returns according to the required scheduleMaintains neat and orderly records both electronic and paperRequirements: CompetenciesEngages in and demonstrates good active listening with staff, peers, volunteers, and supervisorsHandles ambiguity appropriately by involving others including staff, supervisors and peers in a manner and timing that provides the greatest benefit at the lowest cost to the client and 501 CommonsUtilizes critical thinking skills and produces work at a high level of accuracyUses good time management demonstrated by meeting or exceeding deadlines, arrives on time or early, maintains an accurate work calendar, and sufficiently anticipates task duration.Fosters strong professional relationships with clients, peers, and supervisorsSelf-monitors consistency, quality, communication, and has a general self-awarenessDemonstrates problem sensitivity by recognizing and communicating to supervisor occurrences, patterns, or feelings that something may become a problem or issueEffectively communicates with staff, peers, and supervisors in written and or verbal forms that is both timely, accurate, and completeConsistently acts with integrity, ethics, and high moral standardsShows initiative in identifying opportunities to improve quality, efficiency, and effectiveness and shares that discovery with supervisorDemonstrates self-direction by staying organized, follows through on projects and tasks, anticipates and prepares for support from supervisors or peers, and avoids crisis-modesActively learns on the job through exposure to new challenges, professional education opportunities, team training, and learning from othersMaintains and improves technical accounting knowledge and skills by attending trainings as requested, participating in giving and receiving team training, and identifies knowledge gaps Work Environment/Physical DemandsThis position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, copiers, and filing cabinets.The physical demands required to successfully perform the essential functions of the job include: talking and listening; standing; walking; sitting for extended lengths of time; keyboarding; occasionally reaching and bending; and driving.
