We are currently helping our client, a high net-worth family office, with their search for an -Office Coordinator -to provide administrative and operations support. Duration -- Long-term, ongoing contract Location -- Kirkland, WA - Local candidates only, please. JOB SUMMARY: The Office Coordinator (Administrative Assistant / Project Coordinator) for our client's Operations departments is responsible for clear and consistent communication within and across teams, facilitating information exchange, and assisting with project coordination and management. - The ideal candidate is a self-starter, organized and industrious individual with strong communications skills and a positive, process-improvement approach to doing business. - Responsibilities: Assisting in scheduling and planning for meetings, team events, and presentations including handling logistics, preparing and disseminating materials for the Senior Leadership team (SLT), Connect & Collaboration (C&C) Team and Leadership Collaboration Team (LCT). Provide administrative support for the Chief Information Officer (CIO) and Chief Administration Office (CAO). This includes but is not limited to calendar, travel, expense reporting, as well as, creating & editing documents, etc. Overseeing copy room and lunch room: Maintain the area, keep inventory and keep the supplies stocked Partner with procurement on ordering Remove unused items Proactively check equipment needs Coordinate food service deliveries, as needed Rise N Shine (HR) Monthly SLT Meeting AOP Working Meetings Third Thursday Lunch for the team Interview panels Provide assistance as requested with updating Accel site (SharePoint/collaboration site) creation and content Assist with facilitating on-boarding of new employees and contractors, assist in scheduling orientations, trainings, and tours as requested. As requested, providing project coordination/management support to the CAO and CIO overseeing project management documents, databases and spreadsheets. Qualifications: Bachelor degree, or equivalent combination of education, training and experience 2+ years of experience in direct support for multiple principles and/or team support Proficient in Microsoft Office including Outlook, PowerPoint, Word, etc Excellent oral and written communication skills required Proven collaborative track record of collaborating with senior leadership and a diverse network of stakeholders including VIP guests, external vendors and internal staff. Demonstrated experience being well organized with high level ability to plan, prioritize, and take initiative to see multiple ongoing assignments to completion Maintain discretion and confidentiality at all times Proven success in a fast-paced, results driven environment with a critical focus on exceptional quality and timely follow-through - Skills and Abilities: Must be able to work collegially and collaboratively. Ability to motivate, develop, mentor and generate respect and trust from staff and external constituents. Proven track record of working independently and being a self-starter who brings solutions and new ideas to the organization. Ability to own mistakes and turn them into learning, eliminating "avoidable" - errors in the future. Outstanding organization skills with an acute relentless attention to detail.
