Therefore, the job at any level demands knowledge, experience and understanding of the organization, the often conflicting interests at play, and the many business processes and disciplines that are managed by the Manager. In addition the Executive Assistant has to make decisions without consulting others and is held responsible for these decisions afterwards. A further aspect is the need to be able to think ahead and to take action in such a way as to enable decision-making processes and priorities. You are responsible for Performs all standard supporting tasks for a department Agenda Management, Mail screen incoming and outgoing mail, processing and prioritiesOrganizing (and hosting) meetings, events, (video) conferences, Webcasts Creating draft letters/mails/ office documents/meeting minutes/ PowerPointsManaging office supplies Archive management On-/Off boarding (including organization of farewells/jubilees)Develop travel plans travel arrangements (incl visa) and related expenses Maintain website content Remain knowledgeable of corporate policies Dealing with sensitive, complex, and highly confidential information Creating Purchase ordersAnnouncements: sending out local announcements Coaching/training junior colleaguesTo succeed in this role, you'll need a customer-first attitude and the followingBachelor's degree desired7+ years' experience in an executive assistant role in a dynamic, matrixed environmentExperience as an Executive Assistant, supporting multiple leaders required.Experience working in a multi-national / global organization, idealPro-active problem preventer who takes initiative and makes independent decisions.A creative person, capable of generating fresh ideas in the interest of finding new possibilities.Structured, with meticulous organizational skills, knows how to set priorities under high pressureProficiency in EnglishAble to prioritize multiple projects and job responsibilities with competing deadlines (organizational/time management skills)Experience working in a large, global company strongly preferred; ability to deal with different time zones, currencies, work practices and schedules, and cultural differencesAble to perform a variety of job tasks simultaneously; flexible to changing priorities and demands, as neededStrong workload management and problem-solving skills.Must be able to balance workload, including managing short-range and long-term projects.Strong communications and interpersonal skills.Must be able to work well with people from a variety of backgrounds and disciplines, e.g. technical, business, administration.Proven ability to use good judgment and make confident decisions under defined policies and proceduresAbility to work under minimal supervision on day-to-day activities, maintaining a high degree of integrityUS work authorization is a precondition of employment.
