The The Westin Seattle, located at 1900 5th Ave, Seattle, WA, 98101 is currently hiring a Administrative Coordinator - Engineering Department - Great Pay, Perks and Benefits!. Responsibilities include: The Westin Seattle is looking for an Engineering Coordinator who supports the engineering team in their daily efforts. The main tasks of this position evolve around supervising, monitoring, and keeping record of all engineering activities. The Engineering Coordinator will be in charge of an efficient office organization, assist in all matters relating the engineering department, and assist the Director of Engineering, and Chief Engineer in hotel related works. The Engineering Coordinator will assist in managing the EMPOWER database i.e. work request assignments; guestroom project assignments; coordinate all pooling and scheduling data to ensure staff is available to meet workload; dispatch or reassign work orders to available staff; coordinate and respond to telephone, email, and walk-in work requests from guests and in-house customers. In addition, the Engineering Coordinator will assist in implementation of Transcendent database preventive maintenance schedule and keep the history record of each activity, troubleshoot and resolve all Smart Phone and Transcendent database interface issues; project Lead assignments by managers including schedule coordination to meet project timeline; direct and assign project tasks to engineers to meet project timeline; handle minor in-house drafting duties. assist with new hire on-boarding; uniform ordering and inventory; setup and training i.e. Atlas payroll system, Outlook, etc. Manage department scheduling i.e. vacation, holiday/sick, payroll correction, and over-time management, overall department coverage, including recognizing and recording appropriate time to be charged to other departments. Handle staff rewards and recognition events and hotel/department open house events. Train staff on office hardware/software equipments i.e. smart phone usage, Computer hardware training, Microsoft Office including sending and receiving email, logging in/out correctly, changing passwords, etc. Handle all Continuous Quality Control of hotel guestrooms and reassigning work to bring room to brand standards. Set up and maintain online departmental filing system; scan department manuals, equipment manuals, and MSDS documentation to be filed to online filing system; pick up and deliver expense report, HR forms, inter-departmental forms, and type, print, and post monthly energy reports for interdepartmental access i.e. Leadership team, Accounting, Six Sigma etc. Maintain an up-to-date operating manual of the department, comprising policies and procedures, rules and regulations i.e. Fire Control Manual, Fire System Device Address manual, MSDS manual, etc, and other related engineering administration functions. Hot Shoppe management i.e. creations and issuance, receiving and completing, and researching purchase orders to ensure correct payment or credit issuance; solicit pricing and bid information from vendors for storeroom items, departmental supplies and certain major projects; communicate with vendors regarding pricing and delivery of needed materials and parts, assist in set up of credit for new vendors and service companies where continuous services are needed. Vendor and in-house customer Point of Contact i.e. check-in, badge and entry key assignments, escort assignments as needed, service requests sign-offs, etc. Set up and/or conduct meetings for department (standards, safety training, etc.); prepare fire emergency letters for Pre-Con meetings according to group name/title. Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required. Upon employment, all employees are required to fully comply with Marriott rules and regulations for the safe and effective operation of the hotels facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.
