Save Skills - Point - Microsoft Word - Driver's License - Customer Service - Microsoft Office Description DSHS BHA Confidential Secretary The Behavioral Health Administration, within DSHS is seeking a Confidential Secretary to provide advanced level administrative and executive support to the Deputy Assistant Secretary (DAS). This is a tremendous opportunity to work with a dynamic leader and leadership team to support the Governor's five-year plan to transform Mental Health in the State of Washington. This role requires consistent attention to detail, great organizational skills and a solution focused approach to problem solving. Working in a deadline driven environment requires proven multi-tasking skills and the ability to identify ways to drive efficiency. The ideal applicant demonstrates excellent interpersonal and customer service skills and promotes a positive work environment. Some of what you'll do Manage the DAS's calendar, including identifying and resolving conflicts. Ensures the DAS is prepared for meetings, commitments and deadlines. Compiles materials and background information and established timeframes for review of information prior to meetings. Directs, coordinates, monitors and ensures completion of major assignments out of the DAS's office. Reviews critical and sensitive information and determines if information is adequate and appropriate before forwarding for review. Provides support to other members of the DAS's team as necessary. Serves as back up phone and desk coverage for the Assistant Secretary's office. Manages all aspects of correspondence on behalf of the DAS's office. Coordinates with DAS and direct reports to prepare professional high quality responses to correspondence and assignments, ensuring timeliness and completeness. Prepares briefing materials, talking points and other support material that may be used by DAS and others. Receives calls and in person visits from clients, constituents, legislators, state and local officials. Communicates professionally with a broad range of internal and external stakeholders. Ensures the appropriate distribution and release of confidential information. Assists with complex and highly confidential issues, projects, programs and personnel matters. Coordinate with executive level staff related to personnel action. Coordinates review and submission of personnel paperwork for Exempt, WMS and WGS positions. Manages travel for the DAS and direct reports. What we're Looking For Knowledge of DSHS programs and services; Excellent professional and written communication skills. Ability to write and speak clearly. Edit and proof read for grammar, punctuation and spelling; Strong organizational and administrative skills with attention to detail. Ability to organize multiple tasks, projects and priorities in a deadline-driven environment; Ability to exercise professional judgment and maintain confidentiality with sensitive client, public policy and personnel information; Ability to function independently and use good judgment in a potentially stressful situation; Advanced computer skills with Microsoft Office, including Word, Outlook, Power Point, Excel and Point.
