Accounting/Finance Overview Position Description Payroll Operations
Director directs all aspects of payroll operations. Oversees
payroll process and procedures including taxes and finance demands
regarding payroll payments. Serves as the systems administrator for
all Payroll related electronic systems. Designs short-term and
long-term strategy for continuous improvement in payroll
operations. The Payroll Director also oversees timely payment of
Pension and other payroll related payables .
Responsibilities Essential Responsibilities:
Payroll process management
- Maintain leading edge knowledge of the payroll discipline and
be an internal expert for compliance issues and payroll regulatory
requirements
- Ensure that the calculation of earnings and other payments are
timely, accurate and in compliance with Federal and state
regulations
- Ensure that payroll transactions are properly classified and in
compliance with accounting principles and internal/external audit
requirements
- Working with the regional payroll teams and Finance Directors,
develop and maintain standardized payroll practices.
- Ensure regular training is provided as appropriate for all
payroll professionals
- Facilitate audits and drive process improvements
- Establish, maintain and audit appropriate financial controls
and maintaining audit trails for all transactions
- Run AEH Payroll Semi-monthly Systems Administration
- eTime ADP Payroll Administrator, responsible for adding,
editing or deleting all eTime elements, including Pay codes,
Holidays, Leave accruals, Work rules, etc.
- Lead weekly meetings for eTime and manage follow-up items
- Manage EV5 configuration, changes and edits. Troubleshoot EV5
errors and issues.
- Lead monthly ADP meetings
- Implement automated GL integration as appropriate in each
region.
- Review, approve and supervise all ADP work order projects
- Review, approve, and submit for payment all ADP invoices
- Manage third party vendor relationships
Pension Reporting
- On a monthly basis, pull the Pension (PID) report, verify
totals and data with regional payroll managers, and submit to NWPS
timely.
- Submit 403(b) reports on a timely basis for AEH and ensure
timely submission of 403(b) reports to NWPS by all regions.
Tax Compliance
- Administrator of ADP Smart Compliance
- Regularly review and monitor the timely filing of mandatory tax
filings by ADP
- Ensure all tax jurisdictions are maintained
- Troubleshoot and resolve all tax issues as they arrive
- Develop and maintain systems that ensure accurate tax filings.
Coordinating Activities
- Interface with HR and Accounting groups on a regular basis to
ensure data integrity and proper accounting of transactions.
- Oversee payroll related accounting journal entries and
inter-company reimbursements (funding and cash requests, wire
requests, bank reconciliations, suspect check reports, and
quarterly tax reconciliations)
- Troubleshoot and work with the IS Department on all system
related initiatives and upgrades as well as installations
- Effectively interface and collaborate with all levels of
internal and external partners
- Identify and implement opportunities for automation
- Additional duties as the business and department require
Qualifications
- Bachelor's Degree in Accounting (or equivalent Payroll Director
Experience)
- Minimum 7 years of Payroll processing experience
- Minimum 1 years of multi-state Payroll processing
experience
- Proven ability to find solutions, streamline processes, and
improve procedures
- Ability to work cooperatively with others to achieve group
objectives
- Ability to articulate a written message in a clear and
compelling manner
- Ability to communicate complex information to a diverse
audience.
- Ability to address and resolve the contradictory interests or
values of multiple parties
- Ability to facilitate and support the professional growth of
others
- Ability to consistently build long-term relationships based on
the delivery of a service Desired Qualifications:
- ADP exposure and Payroll system implementation experience
