INSTITUTE (KPWHRI) RESEARCH CLINIC IS LOOKING FOR A WARM, FRIENDLY,

SERVICE-ORIENTED REPRESENTATIVE OF KP WITH STAFF, OUR GUESTS, AND EXTERNAL

PARTNERS. CANDIDATES WILL HAVE EXPERIENCE WORKING IN A HEALTH CARE (ADMIN, LAB,

PATIENT CARE) AND/OR HEALTH RESEARCH. RESPONSIBILITIES INCLUDE DEVELOPING

DETAILED BUSINESS PLANS, MAINTAINING DEPARTMENT RECORDS, DEVELOPING DATABASES,

AND COORDINATING SMALL PROJECTS.

EXPERIENCE WITH CLINICALTRIALS.GOV STRONGLY PREFERRED. APPROXIMATELY 25%

OF THIS POSITION SERVES AS RECEPTION ROLE FOR THE CLINIC AS SUCH THIS POSITION

IS NOT ELIGIBLE FOR REMOTE WORK. THIS POSITION ALSO REQUIRES THE ABILITY TO

WORK EVENING SHIFT (10:30AM - 7PM) SEVERAL WEEKS PER YEAR AND OCCASIONALLY UP

TO 40 HOURS PER WEEK. THE IDEAL CANDIDATE IS A PROACTIVE TEAM-PLAYER WHO

Under the instruction and supervision of KPWHRI Manager/Director or Senior Analyst, provides quality service to KPWHRI units through effectively supporting business systems and providing support for technical projects and unique scientific and operational processes. Documents and may help develop business procedures for KPWHRI staff for all workflows. Provide analytical and decision-making support to department or unit as well as some administrative support. Participates in cross-functional workgroups and may lead process improvement efforts of small scope and low complexity. Provides input to KPWHRI leadership on workflow modifications to business processes and research-specific software systems. Supports the introduction, acceptance, integration, and effective use of business process software and integration of quality initiatives and Lean methodology in business operations functions. Updates and may develop training materials and may provide basic tech support or user training. Work is deadline driven and at times confidential in nature. Normally receives general instruction but works independently on assignments that are moderately complex in nature. Expected to meet deadlines and apply judgment within established guidelines and procedures related to department and research study regulations. Essential Responsibilities: Research Systems: Participates in and may lead changes & improvements with research-specific tools & supporting processes (such as EndNote, Adobe, Grants.gov, labor distribution tools, contract and research administration systems or Other Support databases). May assist with the designing & updating of HTML documents for publication on the Intranet and maintaining existing webpages. May monitor one or more budgets and alert manager to significant variances. May contribute to the annual budgeting process. Identifies appropriate data sources from specific department/division/program information systems. Collects data. Researches, compiles, enters and/or formats specific department/division information into databases & spreadsheets. Provides analysis for collected data & assists with recommendations and/or reports. Troubleshoots problems frontline staff are experiencing with software, processes, or systems. Helps develop solutions and implement updated processes or systems. Tests new & upgraded software functionality. Keeps up-to-date on changing technology. Completes special department/division projects as assigned.

Training: Updates and develops job breakdowns, job aids, and training tools. Gives input into development of end-user learning opportunities to promote acceptance and optimal use of procedures and workflows for research business processes. Responds to requests from end-users for technical assistance or guidance. May train new staff on tasks and processes.

Process Improvement: Stays current on processes and contributes to establishing or adjusting processes and guidelines. Helps draft communication plans. Creates & maintains documentation. Coordinates with staff across different units to maximize accuracy of documentation throughout KPWHRI. Is the subject matter expert to answer questions using own knowledge or available resources. Monitors, gathers, and analyzes explanatory information to support optimal workflows. Works to streamline processes and tools and create efficiencies and may make recommendations to correct variances. Gathers quality improvement best practices. Applies quality improvement best practices when participating in cross-functional workgroups to create and improve research processes. Participates and engages fully and respectfully in process improvement efforts, as well as in any cross- functional teams that this position may be involved in.

Administrative Support: May provide administrative support including planning and setting up for meetings, taking meeting minutes, ordering supplies, records retention/management, coordinating calendars, creating expense reports in compliance with federal regulations, and other administrative duties as needed

Basic Qualifications: Experience Minimum one (1) year of analytical, database, spreadsheet, or financial experience.

Minimum one (1) year of administrative support experience.

Education Associate's degree in any general field of study OR two (2) years of experience in a directly related field.

High School Diploma or General Education Development GED required.

License, Certification, Registration N/A

Additional Requirements: Knowledge of department specific systems (such as grants.gov, effort management tools, contract and research administration systems or Other Support database).

Prior experience in KPWHRI or a research setting.

Health care or research business operations or business process analytical experience.

Preferred Qualifications: Three (3) years healthcare and department or division experience, to include one (1) year experience in KPWHRI or a research setting

Bachelor's degree in any general field of study.
