We are looking for a passionate, driven, disciplined and collaborative partner who is seeking an opportunity to support a team of exceptional marketers on a mission to be the undisputed leaders in coffee. The Senior Coordinator position is a critical role on our team as he/she will support a broad team of partners and brands in an ever-evolving, dynamic team setting.  Having the ability to operate with a high degree of professionalism and business acumen regarding sensitive information is a must.  We are seeking a partner who will bring drive, organization, positivity, mindfulness and a strong work ethic to work every day.  He/she will provide project and/or administrative support for the team and its leaders, and carry out activities with limited direction. We are looking to welcome a partner that can exercise independent thinking and discretion.

Summary of Key Responsibilities

Responsibilities and essential job functions include but are not limited to the following:
-  Provide calendar support to two or more leaders and/or a team
-  Meets with departmental managers to coordinate meetings, assignments and deadlines
-  Provides support for meetings, trainings, seminars and activities for department
-  Coordinates projects or phases of complex projects that support department or functional initiatives; ensures that expected results are achieved within the specified timeframe and on budget
-  May support the creation and management of project timelines to deliver products and programs
-  May be responsible for organizing team events
-  Proofreads functionally specific materials for accuracy including copy, grammar and layout and makes appropriate edits
-  May prepare charts, tables, graphs and other presentation materials to support functional work
-  Proactively identifies and implements processes to improve workflow, organization and communication
-  Serves as primary point of contact for both internal and external inquiries and responds or escalates as appropriate
-  Assists with on boarding of new partners
-  Coordinates administrative tasks and projects such as tracking budgets, invoice coding, tracking expenses, generating reports and identifying variances, updating databases, etc.
-  May manage large mailings or distribution of materials/samples
-  Schedules or coordinates business travel as needed and expenses
-  Serves as a knowledge resource to department or function
-  Organizes and maintains filing systems, both electronic and physical
-  May sort and distribute mail
-  May order and replenish department/team supplies
-  Maintains regular and punctual attendance

 

Summary of Experience:
-  Project related support or equivalent 3 - 6 years
-  General office administration 3 - 6 years
-  Fast-paced environment 3 - 6 years
-  Customer service 3 - 6 years

Basic Qualifications:
-  High School diploma/GED or 4 or more years of US military service or more years of experience in a role performing administrative assistant or coordinator job functions
-  6 or more months of experience in a role providing general administrative support to others
-  3 or more years of experience in a role managing calendars and email in Microsoft Outlook
-  Interest and availability to work fixed hours in an office environment

Required Knowledge, Skills and Abilities:
-  Ability to apply knowledge of multidisciplinary business principles and practices to achieve successful outcomes in cross-functional projects and activities
-  Ability to set priorities, meet deadlines and manage multiple projects in a fast-paced, changing environment
-  Ability to make recommendations on changes in approach, concepts and the design of solutions as a team member
-  Ability to work independently and make decisions with minimal supervision
-  Ability to build relationships cross functionally
-  Ability to communicate clearly and concisely, both orally and in writing
-  Ability to deliver excellent customer service
-  Ability to handle confidential and sensitive information with a high level of professionalism and composure
-  Attention to detail
-  Knowledge of general office administration, procedures and equipment
-  Intermediate proficiency in Microsoft Office Suite
-  Ability to apply knowledge of multidisciplinary business principles and practices to achieve successful outcomes in cross-functional projects and activities
