We have been recognized by Inc 5000 as one of the fastest growing Real Estate companies in the nation for the past 6 years. We are seeking a professional Executive Assistant to the CEO of the company.This role demands a strong sense of urgency while working independently on short-term and long-term assignments. We require proactive support to get things done but also someone who can suggest and implement ways to improve processes for long-term success. The right candidate will be customer-service oriented, have strong attention to detail and organization skills. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important, and the ability to communicate with field staff of all levels.Essential Functions: Effective and proactive ownership of calendars and scheduling requirements for CEO Organizing, prioritizing, and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed Tracking and helping drive completion of key deliverable and following up on outstanding items Managing the end-to-end coordination for team events including all hands, off-sites, and team social events. Act as the point of contact among executives, employees, clients and other external partners Ownership of travel and accommodation arrangements Send out and track monthly safety meetings and update Share-drive Prepare weekly reports and agenda for Tuesday managers' meeting Handle occasional company errands for the CEO Create spreadsheets, presentations for special projects as assigned Send out calendar reminders for corporate eventsPM21POSITION REQUIREMENTS Essential Qualifications: The successful candidate will possess exceptional skills in the areas of judgment, organization, diplomacy, discretion, interpersonal relationships, and written and oral communications Minimum of three (3) years of executive assistance experience providing senior management level support in a fast-paced environment (Calendar management, meeting coordination, travel coordination, event planning, etc.) Bachelor's Degree in business or related field Strong organizational and communication skills, team orientated philosophy, and problem-solving skills Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines Ability to maintain composure and switch tasks efficiently in a rapidly changing environment Experience designing processes to maximize effectiveness Excellent Microsoft Office Suite management skills (Outlook, SharePoint, Microsoft Word, Excel, OneNote, PowerPoint) Discretion and confidentiality Service Mindset, Strategic partner - strives to make things easier for CEO strategically and tactically and adjusts behavior to match how he operates. Gains sufficient knowledge to understand CEO's values, goals and priorities to enable his success and act appropriately on their behalf - thrives on doing so. Understands personal preferences and priorities, protects and enables schedules to match. Exempt position with regular office hours of 9-5:30pm.
