Executive AssistantJob Description and ProfileThe Executive Assistant in the organization performs a wide range of tasks to assist the President of the firm. The Executive Assistant provides a bridge for smooth communication between the President's office and all stakeholders associated with his activities; demonstrating leadership to maintain credibility including trust and support with senior management staff. The Executive Assistant works closely and effectively with the President to keep him informed of upcoming commitments and responsibilities, following up appropriately; consistently demonstrates the ability to achieve high performance goals and meet deadlines in a fast-paced environment.The Executive Assistant prioritizes conflicting needs; handles matters expeditiously and proactively and follows-through on projects to successful completion, often with deadline pressures. Prepares and designs general correspondences such as memos, charts, tables, graphs, business plans. Proofreads copy for spelling, grammar, and layout, and makes appropriate changes. The Executive Assistant demonstrates solid organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with attention to detail; has very strong interpersonal skills and the ability to build relationships with customers and staff.The Executive Assistant requires knowledge of company policy and organization, and strong computer skills. Consistently demonstrates a willingness and ability to tackle new challenges, embrace new responsibilities, and take full ownership for results. The duties of the Executive Assistant are usually both time-sensitive and critical in nature that requires a high degree of accuracy, discretion, and confidentiality. The ability to exercise discretion and good judgement in a variety of situations with the utmost professionalism is crucial to the success of the Executive Assistant and the organization.Reports to: PresidentDuties and Responsibilities* Provide personal administrative support and assistance to President of Company.* Be available to President by text, e-mail, and phone for short-notice projects, during, after, and before business hours.* Conserve President's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.* Prepare and edit correspondence, communications, presentations, and other documents in a variety of formats.* Proven experience proofreading and reviewing documents for management.* Manage and maintain heavy schedules, appointments, and travel arrangements.* Arrange and coordinate meetings and events file and retrieve documents and reference materials.* Provide personal assistant duties for President including providing rides for others to community and business events, running errands, and managing documents.* Understand the firm's service lines, industries and client engagement structure in order to work effectively with all levels of employees and clients.* Monitor, respond to and distribute incoming communications.* Assist in monitoring and managing President's email accounts.* Receive and interact with incoming visitors.* Communicate with internal staff at all levels.* Interact in a professional manner with external clients.* Coordinate project-based work.* Work independently on projects while President is traveling or out of the office.* Record, transcribe and distribute minutes of meetings.* Manage event attendance.* Coordinate and/or organize events with organizations the President is a member or board member.* Attend events with President of the firm.* Manage company and President's social media accounts and provide updates and notices to these accounts.* Coordinate with outside vendors including website designers and graphics companies.* Assist with overflow, special projects and day-to-day tasks as needed or assigned.Skills and Specifications* Represent LDC in a responsible manner.* Possess the ability to work both independently and as part of a team.* Decision-making ability based on excellent judgment skills.* Strong verbal and written communication skills.* Direct, clear, concise, and effective communication skills.* High-level proficiency in computer software program related activities such as MS Office Suite and the ability to quickly acquire learning of other applications and software.* Self-motivated, hardworking, highly ethical, and dependable.* Ability to gain excellent rapport internally and externally with management, co-workers, and external partners; positive can-do attitude, excellent customer service, and people skills.* Have the ability to handle a heavy workload in a fast-paced environment.* Detail-oriented, organized, multi-tasking and good follow-through skills.* Information gathering and information monitoring skills.* Problem analysis and problem solving skills.* Ability to take initiative and make decisions or solve a problem by using logic to identify key facts, explore alternatives, and propose appropriate solutions.* Stress management and time management skills.* Ability to work discretely with sensitive and confidential information.* Professional appearance and attitude.* Bilingual (English/Spanish) a plus.* Valid Washington driver's license.Education, Qualifications, Experience* AA, BA/BS degree in a relevant field such as business administration, communications, management, or equivalent experience considered sufficient to address the demands of the position.* Three to five years of administrative support in a corporate or professional services environment providing assistance at the executive level.* Knowledge of standard office administrative practices and procedures.Work EnvironmentThis job operates in a professional office environment and includes work outside of the office. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Driving to client offices and running errands as needed.Physical DemandsThis job can be a sedentary role, including sitting at a desk or in a vehicle. This would require the ability to lift files, binders, banker boxes, open filing cabinets and bend or stand as necessary.
