The Immunology and Vaccine Development (IVD) Program is a large and diverse program within the Vaccine & Infectious Disease Division. The program supports the research of more than 14 PIs, more than 100 active grants and a research staff of more than 200. This position reports to the Research Administration Manager, IVD. Responsibilities Working under the leadership of the Research Administration Manager, this role will provide compliant and effective funding, budget and regulatory administration and general administrative support for one or more Principal Investigators and their labs/departments as needed, working in an autonomous manner to complete non-scientific grant content and tasks. * Supporting the IVD Grants & Contracts team, manage grant and contract proposal preparation; develop budgets for assigned grants, contracts or other funding requests; perform fiscal process review; coordinate preparation of appropriate forms for contracts and agreements and ensure all applications are fully compliant with institutional, federal, state, and local policies and regulations. Perform all pre-and post-award activities per NIH or other sponsoring institutions including the Bill & Melinda Gates Foundation. * Manage assigned subcontract administration awarded by program's PI's. Serve as liaison, representing the project to investigators, Center administration, and administrative staff at collaborating institutions. Manage faculty award programs, trainee support programs, emerging opportunity award programs, and pilot project programs including pre- and post-award administration, managing the application process, and advising applicants on program mission and qualifications. * Perform key post award activities such as: Interpreting the notice of award (NOA), flagging unique aspects or budget adjustments and monitoring and adjusting the teams' commitments across the portfolio of projects based on awards. Updating Other Support and Biosketches as new awards and commitments are received. * Coordinate assigned grant/contract application and renewal process, and administer grants and contracts budgets, as well as writing non-scientific portions of grants/contracts as required. * Approve and coordinate submission of invoices, expenditure requests, etc. to accounting and grants office. * Support the broader IVD grant and contract program by cross-training with peer Research Administrators and providing assistance, as capacity allows, during peak periods for other members of the team. * Perform other responsibilities as required. Qualifications MINIMUM QUALIFICATIONS: * High school diploma * 1-2 years relevant experience or exposure to grant writing/applications including the knowledge of Uniform Guidance and government funding rules. * Working knowledge of Excel formulas and functions such as creating formulas and working with Pivot Tables. * Ability to work under pressure and maintain confidentiality. * Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.) and basic knowledge of accounting terminology. * The ability to prioritize multiple tasks, organize, and work both independently and as part of a team is essential. * Must be detail-oriented. * Knowledge of NIH grant application procedures and budget monitoring. * Strong computer skills-MS Word, Adobe Acrobat and advanced knowledge of Excel. Tableau experience a plus. Strong verbal and written communication skills. * Demonstrated ability to multi-task in a fast paced fiscal management environment. * Demonstrated ability to work effectively in a team environment as well as individually. * Ability to work cross-functionally with other internal departments such as Office of Sponsored Resarch, Institutional Review Office as well as other external sponsoring institutions. * Ability to problem-solve and process information quickly. * Skilled at remaining flexible when time constraints and other issues arise. Must be able to work occasional nights and weekends.
