The Conference Service Specialist is the primary point of contact for Hotel Groups of 5-80 guests and responsible for all planning and coordinating Group's reservation details, Meeting and Event needs, special requests, and arrival and departure details. This position supports the Conference Services Manager and reports to the Director of Events. U.S. work authorization is required for this position. Key Elements of the Job Planning and Coordinating details for hotel groups ranging from 1 - 80 attendees, including but not limited to: Overnight room reservations Meeting setups and selection of meals as needed (Catering) Billing details Guest Room amenities Coordinating and communicating group's arrival and departure Arranging any special requests at the Hotel Coordinating any Audio-Visual needs with onsite vendor Coordinating any group vendors Conducting Site inspections and Planning Sites Rooming list coordination and communicating client needs to reservation department Creating Banquet Event Orders (BEO) for groups with catering needs. Thorough concept of food and menu planning preferred. Creating Group Resumes to communicate all group details to all operational departments in the Hotel Actively upsell clients to increase revenue producing areas of the Hotel (Guest room upgrades, Catering and events, etc). Ability to coordinate groups check-in and check-out with the Front Office Department Assist Conference Services Manager as needed with large Groups In low Group business volume periods, ability to actively sell and manage small Catering Events of 16 guests or less (additional incentive opportunities apply) Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep Director of Events promptly informed of all problems or unusual matters so prompt corrective action can be taken where appropriate. Assist with all guest inquires within the Sales, Catering and Conference Services department, including assistance with high telephone volume and walk-in site inspections as needed. Act as the liaison for all vendor/supplier related clients needs, (i.e. Audio Visual, Florists, D--cor etc.) Preferred Qualifications and Skills 1-3 years of Hotel Experience in any of the following: Front Desk, Reservations, Conference Services, Catering or Private Dining. Basic knowledge of hotel operations is required. Energetic, self-motivated and flexible to adjust while maintaining a stable, problem-solving focused attitude Excellent communicator (written, telephone and in-person) across various departments and ability to work cohesively with multiple operational and sales teams Exceptional attention to detail, organization and time management skills Thinks strategically, self-sufficiently, able to focus on both short-term and long-term planning Ability to use computer software including Microsoft Office products, Outlook, Teams, Salesforce, Opera, etc. Canva and Publisher is a plus. Ability to work on-site during regular Monday through Friday business hours. On limited occasions, the position may require flexible hours based on the schedule of events (evenings, weekends, etc).
