Location: Seattle, WA Days Off: Saturday, SundayPay Range: $19.37 - $21.92 per hourShift Differential: N/ALocation: Multiple Locations/Downtown SeattleShift: DayInsurance Benefits: Dental, Life, Long-term Disability, MedicalOther Benefits: Employee Assistance Program (EAP), Flexible Spending Account (FSA), ORCA card subsidy, Paid Time Off (34 days per year), Retirement PlanThe Facilities Coordinator supports the Facilities Manager, the Facilities Supervisors and the Custodial Supervisor with administrative functions of the Facilities Department in order to assure high quality service to DESC properties. This person will work closely with the Facilities Management Team to ensure that maintenance and janitorial staff has a consistent and reliable supply of materials to complete assigned work in a timely fashion. This person is also responsible for scheduling maintenance and repair of supporting equipment, such as vehicles, and janitorial machines but candidate does not need to have a technical facilities background.MAJOR DUTIES AND RESPONSIBILITIES: Answer incoming calls promptly with proper etiquette; route calls to appropriate persons; transfers call to voice mail or take messages as needed. Under the supervision of the Facilities Manager, assist in maintaining confidential employee files. Participate in and coordinate employee hiring activities. Collect, process, and file documentation sensitive in nature. Assist Facilities Management Team with operation tasks as assigned. Assist in designing and producing data entry forms needed for the smooth/accurate documentation of facility operations. Assist maintenance staff to update and maintain current resource lists and information manuals. Organize, maintain and dispense office supplies and forms needed by staff. Organize, file and/or store source documents for data entered into system, following established procedures for retention or disposal of documents. Schedule routine maintenance of office machines. Participate in staff meetings and in-service trainings, as appropriate. Order, track, and maintain sufficient quantities of the necessary supplies and materials for cleaning and repair work. Respond to emergencies, initiating emergency maintenance actions, cleaning up debris, water, etc., and contacting supervisors. Schedule and coordinate routine maintenance of agency equipment including but not limited to agency vehicles and janitorial machines. Other duties as assigned. MINIMUM QUALIFICATIONS: Excellent typing and keyboard skills and clerical skills/experience. Competency in Word, Excel, Work Order software and electronic timesheet software, or related experience with the indicated potential to learn these skills quickly. Ability to work independently with a minimum of direct supervision. Willingness to be flexible and work cooperatively with co-workers to accomplish all responsibilities of the team. Initiative and creativity in problem solving and system development. Careful attention to detail. Ability to communicate and work effectively with staff from various backgrounds and disciplines. Ability to relate effectively to clients displaying a wide range of unpleasant and/or bizarre behaviors. Subscribe to philosophy of cooperation and continuity across programs, and of consideration and respect for clients. Ability to lift 75 pounds. Have a valid Washington state driver's license and insurable driving record. PREFERRED QUALIFICATIONS: Proven ability to conceptualize and build databases, or experience participating in the use of tracking databases or database software, or one year of experience in purchasing/supply chain environment. One to two years of experience coordinating multiple projects with different users/end user interfaces. One to two years demonstrated experience in increasing responsibility including access to confidential information.
