Job Summary

As the Grants and Contract Billing Specialist you will manage the invoice functions related to government grants and other association contracts. This can include managing incoming staff documents, coding and annotating accounts payable forms, auditing transactions and submitting invoices to funders. You will be the key player in ensuring that appropriate internal controls are in place and accounting procedures are followed. Working with finance, accounting and program staff, you will be a key bridge between the YMCA's services, our association office and funders.

You have knowledge in preparing monthly invoices, accounts receivables, and financial statement reconciliation. You are always stepping up to offer support at the first sign it's needed. You are comfortable using Outlook, Word, and Excel, and are eager to learn new tips and tricks to improve your skills, and have an interest in and aptitude for learning new programs and process. You're equally at home answering phone calls and emails as you are managing projects and meeting deadlines. You easily adapt to change and understand the complex needs of community serving programs. You like being part of a team that cares about one another as people and enjoy working together.


Maintains complete and accurate files for assigned contracts. Staying current with program and contract changes. Understands financial requirements of assigned contracts, and ensures functions are completed in accordance with applicable federal, state and county guidelines, including which expenses are eligible to be billed, which are ineligible and appropriate documentation is maintained. Creates and distributes monthly financial statements. Coordinates coding of expenditures related to assigned contracts. Review and manage purchase card, payroll, and payables expenses. Coordinate with program staff the completion of all non-financial contract reports, ensuring timely submission for assigned contracts. Prepare and send invoices and all required reports to assigned agencies. Create an accounts receivable and send to appropriate accounting staff. Ensures the revenue and expenses booked in the general ledger are in the proper periods and assigned contracts are not overbilled. Effectively communicates with varying levels of staff, including grantors/funders. Responds promptly to all requests and inquiries. Supports fellow Billing Team members and accounting department as needed. Assist with external agency and financial audits as needed. Other duties as assigned.


Two or more years of relevant experience in financial procedures, and budgeting process related to government grants and contracts. AA degree Preferred. Other applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform effectively in the position will be considered. Ability to thrive in a fast-paced environment that often requires managing multiple deadlines and responding to deadlines with short lead time. Strong attention to detail, analytical and organizational skills. Strong communication skills Ability to maintain confidentiality. Enjoys working independently and collaborating with varied team members. Proficient in Excel, data analysis and reporting Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.). Ability to speak any language in addition to English may be helpful.
